W-2 Information


2019 W-2 Distribution Details - Updated January 28, 2020

  • All 2019 W-2's were mailed on January 23, 2020 to the employee address reflected in the system on January 17. 
  • A printable PDF version of your W-2 is available in PeopleSoft HCM/Self Service/ Payroll and Compensation/ View W-2/W-2c Forms.
  • Please verify your address and SSN on our system by logging in to PeopleSoft Self Service and navigating to Personal Information, updating your information as needed.
  • Detailed instructions on using the PeopleSoft Self Service options are available under Self-Service Job Aids.
  • Address changes may also by made via written request to the Human Resources Department, Room 1241 at the Education Center.
  • W-2 forms returned to the District by mail will be reviewed by Fiscal Control.  If a there is an updated address in PeopleSoft, the W-2 will be re-mailed.  Otherwise, the W-2 forms will be held and available for pick up with valid ID at Room 3251 in the Education Center.
  • W-2 reprint requests will be taken starting February 18, 2020.

 Access to 2019 W-2’s during District closure

A PDF version of your 2019 W-2* can be obtained online through PeopleSoft Self Service, under Payroll and Compensation / View W-2/W-2c Forms.  (Tip: turn off pop up blocking if your form doesn’t load to screen)

For those who do not have PeopleSoft access, please email the following information to Pamela Merrill (pmerrill@sandi.net):

·       Employee ID (if known)

·       Date of birth

·       Last/current position held with the district

·       Former mailing address (if applicable)

·       Current mailing address

The next mailing date for 2019 W-2 reprints will be processed on March 25th, and mailed home.  Please submit your reprint request by end of day, March 24th.

*Please note that W-2’s for tax years 2015 and later are also available in Self Service.

Employer-Provided Health Coverage

Informational Reporting Requirements Beginning in 2013, The Affordable Care Act required most employers to report the cost of coverage under an employer-sponsored group health plan in Box 12DD of the W-2.Employees will see the cost of this coverage on the W-2s. The employee’s health care benefits shown on the Form W-2 are not taxable to the employee. The purpose of the reporting requirement is simply to provide employees useful and comparable consumer information on the cost of their health care coverage.
