Extended Day Training in January

Extended Day training will be offered between January 23rd and January 30th 2009. There are both Extended Day Setup training classes and Extended Day Maintenance training classes. These classes are for any school staff who set up or maintain a school’s Extended Day track in Zangle. Legacy Student Systems/SIS down on Thursday evening, January 8th 2009 and Friday evening, January 9th 2009

The IT Department will be performing maintenance on hardware used by legacy student systems/SIS on Thursday evening, January 8th and Friday evening, January 9th. As a result, the systems listed below will be unavailable from 4:00 PM to 6:00 PM on those days.

Zangle FrontOffice and ZangleConnection will not typically be affected by this outage. However, please refrain from enrolling any students in Zangle during this time.

2 New Scoring Options Added to Gradebook

Yesterday, January 6th, 2009, the I.T. Department added two Scoring Options to the Gradebook web application of ZangleConnection.

The additional Scoring Options are Medical Excuse and Teacher Defined. They augment the five existing Scoring Options of Comment Only, Count As Zero, Excused From Task, Full Credit, and Late Submission. These two options have been added at the request of numerous teachers within the district.

Master Schedule Theory Classes Available

We are hosting a limited number of Master Schedule Theory classes in January and February at the Fremont Training Center in Old Town. These classes are intended for Master Schedule Building team members from secondary sites. K-8 schools planning on implementing secondary-style master schedules in 09-10 may attend. These classes are not mandatory. They are strongly recommended for Master Schedule Building team members who are inexperienced at building a master schedule.

IMPORTANT: These classes are designed for administrators and head counselors assigned the task of managing the construction of secondary master schedule. The classes are designed to inform you about the procedures and factors to consider when building a master schedule. These classes are NOT hands-on Zangle classes.

Zangle Academic History training and Go Live in January 2009

This is intended for all High Schools, Middle Schools, and K–8 Schools. Please share with your Registrars (or those that do registrar duties) and administrators. Elementary Schools (except K-8), please ignore:

Zangle Academic History training is right around the corner.


  • Training for High School Site Techs and Registrars (or those performing Registrar duties) will be conducted in January. They are asked to attend one of three two-part training sessions (for a total of six hours of training). Please see the current training calendar on the Zangle Training web page: http://www.sandi.net/zangle/training/index.asp
  • Training for High School Counselors and Middle School Site Techs and Registrars (or those performing Registrar duties) begins in February. The schedule of training classes will be announced in the middle of January.
  • Training for Middle School Counselors and K–8 Power Users and those performing Registrar duties begins in March. The schedule of training classes will be announced in the middle of February.

It is crucial that schools send the appropriate personnel to Academic History training because of the following:

On Monday, January 26, 2009, Zangle becomes the system of record for student marks (grades), transcripts, and cumulative GPAs. Once Zangle becomes the system of record for Academic History, schools must use Zangle for tasks such as calculating cumulative GPAs and printing transcripts. This means schools can no longer use SIS for these tasks beginning January 26, 2009.

Special note to K–8 schools: Knowing how to use Zangle’s Academic History module is an important skill in supporting your middle level students. Please make sure that your site is represented at the training.

New Scoring Options To Be Added To Gradebook

As of January 6th, 2009, the I.T. Department will be adding two Scoring Options to the Gradebook web application of ZangleConnection.

Incorrect Term GPA on Progress Reports for Grade 6 Students

On Thursday, December 11, 2008, a few middle schools reported that the Term GPA on progress reports was incorrect for grade 6 students. Specifically, the Term GPA calculation was previously not including credits or marks earned for PHYS ED 6TH (course codes 5505 and 5505.2).

The IT Department has corrected this problem. Future progress reports and report cards will now show the correct Term GPA value for grade 6 students. Schools may wish to run Marks Processing again in order to ensure the Term GPA value is correct for recent mark reporting periods. Schools may also need to reprint progress reports for grade 6 students.

Two Zangle Handbooks have been updated!

The IT Training and Support team has updated two Zangle handbooks to reflect changes that pertain to process. If you have any questions, please contact your designated

  • The Mark Reporting Handbook has been updated to include step by step directions on how to edit current year Final Posted Marks. These marks have been posted to the student(s) Academic History record via mark processing.
  • The System Administration Handbook has been updated to reflect new fields in Zangle Track Editor that have been identified for use with the Connect-Ed application. These fields enable the school to identify up to two call times for Connect-Ed.


Key Points Regarding Academic History

This communication is intended for all secondary and K-8 school sites. Please read each of the key points carefully and share this information with other staff members at your school.

The IT Department is working with designated schools to ensure a smooth transition when Zangle becomes system of record for Academic History. We are running Zangle Academic History in “parallel” with SIS Grade History. As part of this parallel process, we converted grade history data from SIS into Zangle, and are implementing a process that will synchronize the permanent grade history data between SIS and Zangle.

NOTE: This notification is intended to alert you to some key things you need to remember or that you may notice as a result of this parallel process. For schools not participating in the parallel, there is no change in what you are doing with marks in Zangle and SIS.

If you have any questions, please contact your On-Site Support team representative.

SIS is the “system of record” for grade history data:
All data MUST be kept accurate there as well as in Zangle Mark Reporting. Only Transcripts printed from SIS are official, and they are the ONLY documents that may be sent to anyone outside of the school.
Zangle Transcripts and other reports of academic history info printed from Zangle may NOT be sent outside the school. This applies to schools participating in the parallel process as well as schools that are not participating.

If your school is not participating in the Academic History parallel process, you must continue to make changes to permanent marks in SIS. This data will be transferred into the Zangle Academic History module by a nightly process called “AHsync”. This process will delete from the Zangle Academic History module any marks that don’t exist in SIS, and will update in Zangle Academic History any changes and additions that were made in SIS. It will NOT make any changes to Zangle Mark Reporting data (Student Marks).
Note: This does not apply to the few Charter schools who have Academic History data in Zangle only.

If your school is participating in the Academic History parallel process, you must make changes to permanent marks in Zangle. The AHsync process will move the data back to SIS, including deleting from SIS any marks that don’t exist in Zangle. Changes to current year marks will need to be made in Zangle Mark Reporting.

The link between marks in Mark Reporting and Academic History:
We did our best to recreate the link between the current year marks (Mark Reporting) and the marks posted to history (Academic History), however we weren’t able to reconnect the link in all cases. If a mark has a link between Mark Reporting and Academic History, that mark is red on the Student Marks window. If a mark is red, it can only be corrected in Zangle on the Student Marks window – it cannot be corrected directly in Zangle Academic History.

If the student is “owned” by a school that is not participating in the parallel process, the mark must be corrected in Zangle Mark Reporting (Student Marks) AND it must also be corrected in SIS if it has already been uploaded. It is optional to correct the mark in Zangle Academic History. The nightly AHsync process will bring the corrected mark from SIS into Zangle Academic History, but it will not update the mark in Zangle Mark Reporting. So if the mark isn’t corrected in Zangle Mark Reporting, a Zangle report card will print the wrong mark. If the mark is not corrected in SIS, the official Transcript will be wrong, and the wrong mark will be put into Zangle Academic History by the nightly AHsync process.

If the student is “owned” by a school participating in the parallel process, the mark must also be corrected in Zangle Academic History. If the mark is red in Student Marks, changing it there will correct Academic History. If the mark is not red in Student Marks, then it must also be manually corrected in Zangle Academic History. If it isn’t corrected in Zangle Academic History, the correct mark won’t get moved back to SIS by the AHsync process, and official Transcripts will not be correct.

Block Courses have been expanded in Zangle & SIS:
If Literacy or Math Block courses were entered for out of district marks, those also got split into entries for the component courses. Remember to not enter the block course number into SIS – you must instead enter the component courses, using the same mark for each component course.For information about what courses a block course gets split into, refer to the district Course of Study.

When courses are posted to history, Zangle splits Block courses into their component courses in Academic History (this is why marks for Block courses aren’t red on Student Marks). After go-live, the original Block course will be viewable on the Zangle Academic History window’s State tab. We do not have that information in SIS, so the converted data doesn’t show the original Block course. This information will be available in the near future.

GPA Auto Calculate:
IT turned “On” the preference that will cause GPAs to be automatically calculated when changes are made in Academic History. A message box gets displayed indicating counts of GPAs added or updated. Users should ignore this for now – it will apply when Academic History is implemented district-wide.It’s needed now for the parallel process.

“Generic” Courses:
In SIS, do NOT use a “generic course” to put school, city, state or country names in; there are fields specifically available for that when entering courses taken out of the district.

Extended Day marks are being managed by Jean Gallenson:
Jean will work directly with schools on these uploads. Extended Day marks need to be processed separately. During 1st semester, for each session, do not run mark processing for Extended Day marks until you receive an e-mail from Jean.

Out of District Changes in Zangle

THIS EMAIL WAS SENT TO ALL ZANGLE POWER USERS. PLEASE PASS THIS ON TO OTHER STAFF AT YOUR SCHOOL WHO MAY BE IMPACTED BY THIS CHANGE.

Effective Wednesday, November 19, 2008, the Out of District school in Zangle will be changed to ** Out of SDUSD Boundaries. In addition, the following four new “out of district” schools will be created for use with Academic History and other areas of Zangle:

* Out of District – for use when school is a California school but not an SDUSD school
* Out of District – Court– for use when student is assigned to a Court school
* Out of State – for use when school is not a California school
** Out of Country – for use when school is not a U.S. school

These choices were made based on input from high school Registrars, and are needed to support secondary Academic History in Zangle. They should also be used for Enrollment History and Records Access. They should not be used for Boundary or Residence data.

This change will affect the following areas of Zangle. Please share this information with other staff at your school if they are familiar with these areas of Zangle.


  1. School of Residence: Any students who previously had Out of District as the School of Residence will now show ** Out of SDUSD Boundaries on the Address tab of Student Editor.

  2. Boundary Exceptions: When entering boundary exceptions on the Boundary tab of Student Editor, it is not necessary to select a Resident School. However, if you wish to select a Resident School, you may choose ** Out of SDUSD Boundaries, which will now appear near the top of the drop-down menu. Please do not use one of the four new “out of district” schools (shown above). If you had selected a Resident School of Out of District for any previously entered boundary exceptions, the Resident School will be changed to ** Out of SDUSD Boundaries.

  3. Enrollment History: The Enrollment History tab of Student Editor will show * Out of District for any students that previously had an entry for Out of District. Please do not use ** Out of SDUSD Boundaries for either the “At School” or the “To School”.

  4. Records Access Log: The four new “out of district” entries, shown above, will now appear at the top of the School drop-down menu when entering items in the Records Access Log tab of Records Access. Any previous entries with Out of District will be changed to * Out of District. Please do not use ** Out of SDUSD Boundaries with entries in Records Access Log.

  5. Academic History: The four new “out of district” entries, shown above, will now appear at the top of the School of Record drop-down menu when entering new marks in the Transcript tab of Academic History. Any previous entries with Out of District will be changed to * Out of District. Please do not use ** Out of SDUSD Boundaries with entries in Academic History.

Correcting Enrollment Records

The IT Department is continuing to go through the process of making sure enrollment records in Zangle are correct. To assist in this endeavor, the IT Department has written a Zangle query to pull enrollment records that might not have been completed properly. This query will pull up any student enrolled at your school site this year that meets the following conditions:

  • The student was withdrawn from your Zangle track.
  • The Exit Date is exactly the same as the Entry Date.
  • The Exit Code is not No Show – Enrollment Dropped. (In the query, the Exit Code associated with No Show – Enrollment Dropped is L05.)


There are two possible scenarios that could account for these conditions occurring:

  • a) The student actually attended your school for at least one day and was marked present. The record is correct and no changes are needed.
    Or
  • b) If the student did not attend any classes at your school, then make sure the student was marked absent and change the Exit Code to No Show – Enrollment Dropped.

    To run this query, do the following:
    1. Launch Zangle
    2. Click Enrollment
    3. Click Reports
    4. Scroll down and select Student Query Writer
    5. Scroll down until you find *Reverse No Show –Corrections Needed
    6. Click the Export button
    7. Examine the Excel spreadsheet to see if any student names appear. If names do appear, please determine if they fall under category a) or category b) above. If they fall under category b), please correct the enrollment record.

    Please make any corrections by Friday, November 21, 2008, so the district can submit a state report on time.

Zangle Academic History project

Subject: Zangle Academic History project

This information relates to Zangle Academic History for secondary marks.
Please make sure this information gets shared widely at your school.

The Zangle Academic History project’s purpose is to move permanent grade history (“transcript”) data into Zangle, making Zangle the system of record and official source for this data. Currently SIS is the system of record. There will be a “parallel phase”, during which a few schools will work closely with IT to ensure that the configuration, documentation, and training have been “vetted” before district-wide implementation.

[1] Zangle Academic History will not be available beginning at 3:00 PM this Friday (Nov. 14), and continuing through next week. We are working on converting the grade history data from SIS into Zangle. During this time, you may see data there, but it will be incomplete and we will not have applied the district’s grade suppression policy to it. Do not use this data! We will let you know when we have completed the process. SIS Grade History WILL be available during this time.

[2] Conversion time frame: We began extracting the grade history data from SIS this week, and will start loading it into Zangle beginning at 3:00 PM this Friday afternoon. This process will continue through next week. During this time, you should not do anything that uses this “transcript” data. This includes printing any reports that look at marks that have been posted to history, as well as actually posting any marks to history (including posting mark changes). We have tentatively planned for another conversion in January, although we are hoping to avoid it. NOTE: SIS IS THE SYSTEM OF RECORD, AND MUST BE KEPT ACCURATE until the district-wide go-live.

[3] The Mark Reporting data in Zangle is separate from the Academic History data, so you can print and use reports (including progress reports) based on the Mark Reporting data.

[4] Charter Schools: If you are a charter school that has grades in Zangle only, these grades will remain in Zangle after the conversion, along with any relevant historical grades from SIS.

[5] Synchronize (“Sync”) process: During the parallel phase, a process will be run frequently to synchronize the data between Zangle and SIS. This is currently planned to run nightly. So, if students move between schools participating in the parallel process (“parallel” schools) and schools not participating (“non-parallel” schools) and vice versa, the data will follow the students.

[6] Parallel Phase Purpose: We will begin working with a handful of schools next week to run a parallel academic history process in Zangle and SIS. The purpose of this process is to:
make sure that the processes that will move academic history between Zangle and SIS work correctly, make sure we’ve correctly configured Academic History in Zangle
fine tune the documentation and training in preparation for the full implementation

[7] “Parallel Schools”:
The following schools have graciously agreed to be guinea pigs for this parallel phase:
Garfield HS
Hoover HS
Madison HS
Serra HS
San Diego MVP Arts
San Diego Business
San Diego CIMA
San Diego Int’l Studies
San Diego LEADS
San Diego Science & Technology
Wangenheim Middle

[8] Additional information will be sent as appropriate.
For now, non-parallel schools are to continue to work as they currently are.

[9] Training for the district-wide go-live is currently planned to occur beginning after Winter Break.

[10] Questions and Answers:

[11] What if I have to correct marks? SIS will remain the “system of record” for permanent grade history during the parallel phase. This means that the official data will be in SIS, and official Transcripts may ONLY be printed from SIS. The schools not participating in the parallel phase must continue to maintain permanent marks in SIS, making changes there to marks that have already been posted and uploaded. The schools participating in the parallel phase will maintain marks for their students in Zangle.

[12] When is the “Go live” for all sites? “Go live” for the rest of secondary tracks is currently planned for January 26. Yes, this is before the end of the first semester.

[13] What about semester report cards, especially the mailer? I.T. will print fall semester hand-out and mailer report cards only for those schools who request it. Otherwise, your school will print your report cards for distributing to students. If your school wants your fall semester report cards mailed home, you will need to supply a budget charge number to cover the cost of forms and postage. As in previous years, an e-mail will be sent out to all secondary power users in January reviewing the details and requesting detailed information on 1st semester report cards.

[14] How do I handle Apex courses? For information about what to do with marks for Apex courses, please contact Nellie Meyer’s office.

[15] What is the Academic History project? The Zangle Academic History project’s purpose is to move permanent grade history (“transcript”) data into Zangle, making Zangle the system of record and official source for this data. Once this project is completed, Transcripts will be printed from Zangle, cumulative GPAs will be available, and Zangle’s Graduation Status checking feature will be available. Currently SIS is the system of record for permanent grade history data.

[16] Are there any days in the next few weeks that I can not print a transcript from SIS? No, you can print transcripts in SIS throughout this process.

[17] How long will it take for changes to grades to get updated in Zangle or SIS? The “Sync” process will be run each night. Official Transcripts can be printed from SIS the day after a parallel school makes a change.

[18] Who should I contact if I have a question about Academic History? Please contact your On-Site Support representative for general questions about Academic History.
Schools participating in the parallel phase should contact Richard Ojeda in IT Training or their On-Site Support Representative.

[19] How will the January 26 implementation date affect my school? Beginning then, Zangle will be the system of record for permanent grade history (“transcript”) data. Schools will maintain this data only in Zangle. Official Transcripts can be printed from Zangle beginning then.

[20] What about students who left my school before this year? You will still be able to view grade history data for these students, and print Transcripts for them from SIS.

[21] What about the data clean up? Can I still make changes? Yes, if you are not a parallel school, you SHOULD continue to make corrections to the grade history data in SIS! SIS is the system of record until the Zangle Academic History go-live. If you are a parallel school, we expect you to make corrections in Zangle, and these corrections will get sent to SIS by the overnight Sync process.

[22] What about students who transfer into or out of my school? The Sync process will move the data between Zangle and SIS to keep the two systems synchronized. A student who moves from a parallel school to a non-parallel school will have their marks available not later than the day after the Sync process runs.


SBRC~EL-XOPL Marks Now Available!

Important Enrollment Reminder

When enrolling students in grades K-12, please remember to enter the following:

1. the date the student was first enrolled in California.
2. the date the student was first enrolled in the U.S.

Do not enter the dates that the student started pre-school.

This information can be found in box numbers 16 and 17 on the 2008-09 SDUSD Enrollment Form. The dates should be entered in Zangle in the Student Editor on the SDCS Other Tab. This allows the district to collect funds that it is entitled to. For more information, please refer to the Zangle Enrollment Handbook v5.4.

If you or someone you know does not have version 5.4 of the Enrollment Handbook, please have them download a copy from our website. This handbook has the most up-to-date instructions for enrolling and withdrawing students for SDUSD.

Legacy Elementary Report Cards

This communication is for Elementary schools only.

Scan sheets and legacy report card processing will be available when approved for certain site grades and classes that do not participate in the Standards-Based Report Card.
Schools may wish to use legacy report cards for the following types of Special Ed classes:

NOTE: This request will apply to all 3 report card cycles, therefore you must notify IT if there are any changes during the year.

2. Teacher names and room numbers of the requested classes OR requested grade level(s) for entire grades
3. Whether you would like scan sheets mailed or you would like to pick them up
4. Name of contact person at your site


Printing Learning Contracts for 2008-09

School Sites will be printing Learning Contracts from SISCS this year, but they will look very different than last year. A circular will be going out this week with more information. In the meantime, the queries related to Learning Contracts in SISCS have been disabled. For more information, call Karen Bachofer at 619-725-7167.


Zangle Extended Day Handbook, version 4.8

Before dropping (withdrawing) a student from your Zangle E-Track, please make sure you either have version 4.8 of the Zangle Extended Day handbook or you've downloaded pages 57 through 60 of version 4.8 of the Zangle Extended Day handbook.

These pages have the correct Exit Code to be used when dropping (withdrawing) a student from the E-Track.

Transcript report will be removed from Zangle on 10/31/08

Effective Friday, October 31, two changes will be made within the Academic History module in Zangle.

  1. The Transcript report will no longer be accessible in Zangle. This affects users in the following permission sets: Registrar, Sec. Site Technician, and Counseling Secretary. The report will be available again once Zangle becomes the system of record for transcript information.
  2. The Print button in the Academic History application will be disabled.
NOTE: Grade history information can still be viewed using Student Profile in both Zangle FrontOffice and ZangleConnection. However, the Student Profile transcript information should never be printed and shared with agencies outside the school district. The Student Profile transcript information should never be interpreted as the official transcript from an SDUSD school.
