  4. Schools with any of Grades 7-12 review drop rosters.

Brief Explanation:

 

Staff and student data will be reported this fall to the California Department of Education in the California Basic Educational Data System (CBEDS) report. Most data will be collected from Education Center sources, but certain data are available only from schools.

CBEDS Data Collection Contacts. Secondary and certain atypical schools complete the attached 2002 CBEDS Contacts Survey. Provide names and telephone extensions for staff responsible for completion of the CBEDS Assignment Information Survey, for review of Grade 12 students for nonseniors, for documentation of nondropouts on the drop roster, and/or completion of the CBEDS Computer Technology Survey. Return by September 6, 2002.

Dropout Data Collection. On September 16, all schools with any of Grades 7-12 will receive rosters of their 2001-2002 drops and instructions for review. These rosters must be returned by
October 2. On October 17, rosters of dropouts and nondropouts will arrive for verification; schools have until October 25 to finalize their rosters.

CBEDS Computer Technology Survey. On September 16, schools will be notified of the online CBEDS Computer Technology Survey. The survey collects the number of computers in instruction-related use in the school, the number that have a CD-ROM, the number of classrooms using the Internet, and the number of classrooms on a Wide Area Network (WAN). The survey should be completed by October 4.

Educational Service Survey. Each school is responsible for providing educational service data for certificated staff who are not on last year's CBEDS report file, using the online CBEDS Certificated Educational Service Survey. The staff generally will be new to the district or have returned from a leave of absence last year. On October 7, schools will receive a list of their staff to survey; the survey is to be completed by October 18.

CBEDS Certificated Administrator Survey. On October 7, certificated administrators who are not known to have a doctorate will receive a CBEDS Certificated Administrator Survey. It asks that they update their highest educational attainment, if necessary. This survey is the responsibility of the individual administrator and is due October 11.

Certificated Professional Assignment Information. Certificated assignment data are collected from the district's main computer files; any missing assignment data are collected from schools. Schools provide the missing data on the CBEDS Assignment Information Survey, which lists staff with incomplete assignments. Secondary schools will receive the survey October 2 (due October 16) and the elementary schools will receive surveys October 7 (due October 18).

In order to account for all certificated staff for CBEDS, the district is directing that elementary and secondary master schedules include coding for teachers who in the past have not been on the master schedules (e.g., prep time teachers) and for some nonteaching staff (e.g., resource teachers, peer coaches). For secondary schools, new 9900 series course codes have been designated for this purpose. Site technicians and others with responsibility for working with these master schedule data either have or will receive detailed information on these new course codes. Elementary master schedules must include both teachers in shared assignments. This is part of a major drive to improve the timeliness of the district's CBEDS report and careful preparation of this coding will eliminate or greatly reduce your CBEDS Assignment Information Survey.

Count of Seniors. Schools will review rosters of their Grade 12 students to identify those who are not seniors. Lists will be received on October 15 and are to be returned by October 25.

All items other than the 2002 CBEDS Contacts Survey (to be faxed) and the online surveys are to be returned to the Research and Reporting Office, Eugene Brucker Education Center, Room 3107. The superintendent has made the timely submission of the district 2002 CBEDS report a priority. Therefore, all due dates will be strictly enforced.
