  1. SUMMER SCHOOL APPOINTMENTS FOR CLASSIFIED MONTHLY EMPLOYEES.
Elementary Schools June 24 to July 19, 2002 (4 weeks)
Middle Schools June 24 to July 26, 2002
    June 19 to August 6, 2002
    (5 weeks)
    (7 weeks)
High Schools June 25 to August 2, 2002
    June 19 to August 6, 2002
    (6 weeks)
    (7 weeks)

In an effort to improve the accuracy and timeliness of summer school pay for classified employees, this year's payment schedule has been modified. In the past, summer school assignments were paid on the last working day of the month. Due to the short timelines, many summer school assignments were not processed and submitted to Payroll in time for summer school earnings to be included on the June pay check. Therefore, many employees were not paid for their June days as expected and had to wait to receive their pay on a later pay date. This resulted in many frustrated and angry employees who did not know when they would receive their pay.

In an effort to ensure that employees can better anticipate the date they will receive their pay, summer school will no longer be paid on the last day of the month. Both classified and certificated employees will be paid on the same dates. There will be three summer school payrolls as follows:

    TIME PERIOD WORKED PAY DATE
    6/19/02 - 6/30/02 7/12/02
    7/01/02 - 7/12/02 7/26/02
    7/15/02 - 8/06/02 8/16/02

Checks produced on these payrolls will be placed in the US Mail the day before the pay date. These checks will not be electronically deposited.

No voluntary deductions will be taken from summer school checks.

It is hoped that by changing the manner in which summer school is paid will ensure that employees are paid accurately and on time.

If you have any questions, you may contact the Payroll Unit at 725-7725.

  2. APPOINTMENTS OTHER THAN SUMMER SCHOOL FOR CLASSIFIED MONTHLY EMPLOYEES. Ten-month classified employees who serve during the summer months in any assignment not directly related to summer school are paid on an hourly basis. Time should be entered on CL-1 time cards.

    a. If assignment is the same job classification (involves substantially the same duties as the regular workyear), no Assignment Authorization is needed.

    b. If assignment is a different job classification (substantially different duties), an Assignment Authorization must be submitted to add a new classification. Specify the assignment as hourly. If there is any doubt about the proper job classification for the work to be performed, the Classification and Recruitment Department should be consulted before making a commitment to the employee. Please call Donis Armenta, Director, Classified Personnel at (619) 725-8071 or Brenda Bense at (619) 725-8022.

  3. HOURLY EMPLOYEES WORKING DURING SUMMER MONTHS. An Assignment Authorization form is required for each hourly employee who is appointed to work in summer school or in a nonsummer school assignment at a different work location, different job classification, and/or substantially different duties. Time worked is reported on the green classified hourly time sheet. If there is any doubt about the proper job classification for the work to be performed, the Classification and Recruitment Department should be consulted before making a commitment to the employee.

  4. NEW MONTHLY EMPLOYEES FOR 2002-2003. A 10-month employee cannot commence work on a monthly basis until the dates specified under "First Day, 2002-2003 School Year." The Assignment Authorization should show this date. If an employee works before that specified date, the hours should be entered on the classified hourly time sheet. REMINDER: No person is allowed to work prior to being processed and the site receiving notification from the Human Resource Services Division that the applicant's fingerprints have been cleared. The employee must also have a valid TB certificate on file prior to commencing employment.

Questions regarding this circular should be directed to Carol Hinton, Payroll Specialist, at (619) 725-7717 or by e-mail to <chinton@mail.sandi.net>.
