  Date:   May 15, 2001
To:   Principals, Vice Principals, Child Development Center Administrators, Division and Department Heads
  Subject:   SAMSLink System Implementation
Department  and/or  Persons  Concerned:   Site Administrators and Program Managers
  Reference:   None
Action  Requested:   Implement on dates indicated

Brief Explanation:

We are pleased to announce the implementation of the Timekeeping computer application. Included in timekeeping is "SAMSLink" which displays data collected by the Substitute Administrative Manage-ment System (SAMS). SAMS is the call processing system that places visiting teachers in absentee positions.

The other part of Timekeeping is the "time card" system which is used to report time worked for all visiting teachers. On February 1, 2001, all secondary schools started creating electronic time cards using the Timekeeping computer application and are no longer required to complete and submit the A-1 substitute time cards.

The electronic time cards generated using this system will be used to pay visiting teachers for all other sites effective on the following dates:

On April 1, 2001 - elementary school location numbers 001 through 131, atypical schools, Child Development Centers and Extended Day Magnet Programs (location numbers 831-896) created electronic time cards using the Timekeeping computer application and are no longer required to complete and submit the A-1 substitute time cards. These sites should no longer send the A-1 substitute time cards to payroll. From the Timekeeping computer application, print and retain the signed copies of the School Sign-In Sheet as a signature log for auditing purposes.

On May 1, 2001 - elementary school location numbers 132 and greater started to create electronic time cards using the Timekeeping computer application and are no longer required to complete and submit the A-1 substitute time cards. These sites should no longer send any A-1 substitute time cards to payroll. From the Timekeeping computer application, print and retain the signed copies of the School Sign-In Sheet as a signature log for auditing purposes.

Effective May 1, 2001, all visiting teachers’ time cards must be submitted electronically through the SAMSLink/Timekeeping computer application. All visiting teacher assignments must be processed through the SAMS system.

Site administrators are responsible to approve all electronic time cards for his/her school site.

This responsibility may not be designated to non-management staff.
