1. SUMMER SCHOOL APPOINTMENTS FOR CLASSIFIED MONTHLY EMPLOYEES. Ten-month classified employees who are employed in summer school assignments are paid, on a pro-rata basis, no less than the salary and benefits that would apply to the appropriate classification during the regular school year. (Example: A School General Secretary III on an eight-hours-per-day basis, "E" salary step, is employed to work six hours per day as a School General Secretary II in summer school. The secretary would be paid for a 75 percent assignment at the "E" step of School General Secretary II salary range.

The secretary would be permitted to take paid sick leave time, would be paid for holidays occurring within the assignment, and would earn sick leave and vacation credit for time assigned during the summer session.)

Assignment Authorization forms are required for all summer school appointments and should be submitted in time to reach the Payroll Unit no later than June 8, 2001.

2. SALARY DEDUCTIONS DURING MONTHLY SUMMER ASSIGNMENTS. When a 10-month classified employee accepts monthly employment in a summer school assignment, the employee is categorized as a 12-month employee for deduction purposes. This means that 12-month deductions (credit union, tax-sheltered annuity, additional tax withholding, savings bonds) will be taken if there is sufficient pay to cover these deductions. Cancellation cards should be submitted to delete those deductions you do not wish continued and new deduction cards submitted when you desire to have them reinstated. In either case it is necessary to have the cancellation or deduction authorization cards on file by the first working day of the month in which you want the action to be effective. Organization dues, district insurance, and other ten-month deductions will not be taken.

3. APPOINTMENTS OTHER THAN SUMMER SCHOOL FOR CLASSIFIED MONTHLY EMPLOYEES. Ten-month classified employees who serve during the summer months in any assignment not directly related to summer school are paid on an hourly basis. Time should be entered on CL-1 time cards.

a. If assignment is the same job classification (involves substantially the same duties as the regular workyear), no Assignment Authorization is needed.

b. If assignment is a different job classification (substantially different duties), an Assignment Authorization must be submitted to add a new classification. Specify the assignment as hourly. If there is any doubt about the proper job classification for the work to be performed, the Classification and Recruitment Department should be consulted before making a commitment to the employee. Please call Donis Armenta, Director, Classified Personnel at (619) 725-8071 or Brenda Bense at (619) 725-8022.

4. HOURLY EMPLOYEES WORKING DURING SUMMER MONTHS. An Assignment Authorization form is required for each hourly employee who is appointed to work in summer school or in a nonsummer school assignment at a different work location, different job classification, and/or substantially different duties. Time worked is reported on the green classified hourly time sheet. If there is any doubt about the proper job classification for the work to be performed, the Classification and Recruitment Department should be consulted before making a commitment to the employee.

5. NEW MONTHLY EMPLOYEES FOR 2001-2002. A 10-month employee cannot commence work on a monthly basis until the dates specified under "First Day, 2001-2002 School Year." The Assignment Authorization should show this date. If an employee works before that specified date, the hours should be entered on the classified hourly time sheet. REMINDER: No person is allowed to work prior to being processed and the site receiving notification from the Human Resource Services Division that the applicant’s fingerprints have been cleared.

Questions regarding this circular should be directed to Carol Hinton, payroll specialist, at (619) 725-7717 or by e-mail to chinton@mail.sandi.net.
