  To:   All School Principals
Subject:   MAGNET, VEEP, AND CHOICE ENROLLMENT CODING
Department  and/or  Persons  Concerned:   Principals, Vice Principals, Secretaries, Counselors, Magnet Resource Teachers, and Student Data Personnel
  Due Date:   September 29, 2000
  Reference:   None
Action  Requested:   Magnet, VEEP, and Choice Student Coding

Brief Explanation:

Each October an annual report on the number of integration program (Magnet and VEEP) and Choice participants is prepared for the state and Board of Education. Enrollment information will be taken from the Student Information System (SIS) as of:

September 15, 2000  •  September 22, 2000  •  September 29, 2000

It is imperative that enrollment information be entered correctly into the SIS. Personnel from the Integration Services, Reporting, and Enrollment Options Office will contact schools to clarify any discrepancies identified from the September 15, 22, and 29 extractions. September 29, 2000, is the district active enrollment date. Reports of student enrollment in Magnet, VEEP, and Choice will be developed from the September 29, 2000 data.

IT IS IMPERATIVE THAT SCHOOL PERSONNEL RESPONSIBLE FOR ENTERING STUDENT DATA PAY SPECIAL ATTENTION TO THE FOLLOWING AREAS:

Schools With Integration Programs

A Special Resident Code is used to designate magnet or VEEP participation in the Special Enrollment Code (SEC) field.

  • MS for all students enrolled at a total school magnet (resident & nonresident).
  • MP for all students enrolled in a program-within-a-school magnet or enrolled in a total school magnet and participating in a unique strand of the curriculum (resident & nonresident).
  • VP for all nonresident VEEP participants.

In the same Special Residence Code field, a SAP code is used as a third character (i.e., MP1) if one applies. The third character (shown below) identifies why students, who do not appear to meet eligibility criteria for magnet or VEEP, are enrolled at the school (use only with MP, MS, and VP).

  1. Students with child care in an eligible area.
  2. Students enrolled from an eligible area—then moved.
  3. Students enrolled in an integration program and articulating into the same magnet focus.
  4. Seminar students participating in a seminar program.
  5. Student who qualifies as a nonresident special education participant.
  6. Students continuing in a program based on previous year’s eligibility.
  7. Out-of-District students enrolled with an approved Interdistrict Permit (must be renewed yearly).
  8. Students enrolled with School Initiated Placements (SIP school/parent agreement).
  9. Students enrolled with School Initiated Placements (SIP Council Action).

Schools With Choice Participants

Nonresident students enrolled at a school through the Choice process (not magnet or VEEP) are coded in the Special Residence field (SEC/SAP) as follows:

  • 4J students enrolled via Choice process and with an Interdistrict Permit (must be renewed yearly).
  • CH students enrolled via Choice process.
  • CH2 students enrolled via the Choice process receiving higher priority for specialized course.
  • G3 continuing nonresident Choice students grandfathered into the Choice program; students were nonresident prior to the 1994-95 school year.

Other nonresident codes not included in choice, magnet, or VEEP consist of:

  • 4C resident students who move and are continuing through the end of the school year (not Magnet or VEEP).
  • 4F nonresident special education students (not Magnet or VEEP).
  • CA elementary child care affidavit.
  • CF students transferred due to overcrowded facility.
  • CH4 seminar students participating in a seminar program (not Magnet or VEEP).
  • CR students attending a nonresident charter school.
  • G4 students with attendance area changes approved by Board of Education (grandfathering and sibling privilege for specific schools).
  • SC students with approved School Initiated Placement (SIP Council Action).
  • SP students with approved for School Initiated Placement (school/parent agreement).

No other codes are valid for 2000-01 enrollments.

Identification of resident or nonresident status

In SIS, identification of resident or nonresident status is determined by data entered in the RES LOC field. The system automatically inserts your site location number in this field. When you enter a Special Residence Code in the SEC/SAP field, you must enter the location number of the student’s neighborhood school in the RES LOC.

  • Out-of-district students enrolled with Interdistrict Permits are coded 000 in this field.
