PeopleSoft HCM System Maintenance on Friday, June 26, 2009 – 5:00 pm to 7:00 pm

On Friday, June 26, 2009 the Information Technology Department will perform maintenance to the PeopleSoft HCM application.
The PeopleSoft HCM application (Time & Labor, Recruitment, Benefits) will be unavailable from approximately 5:00 PM to 7:00 PM. This maintenance contains fixes and shouldn’t affect the functionality for the end-users. This outage will NOT affect the PeopleSoft Financial (ePro, Travel & Expense) or EPM (Budget Reports) applications.
PeopleSoft Open Lab Change for June

Although there will be an Open Lab held on June 26th where you can receive assistance with PeopleSoft Human Resources or Zangle issues, there will not be any assistance available that day for PeopleSoft Financials issues (eProcurement and Travel Expenses).
Because of that, there will be a special, one-time Open Lab specifically for eProcurement and Travel Expenses issues held on Friday, June 19th, from 8:00 am until 11:00 am.
Open Lab exists to provide in-person guidance to those district employees who have already attended PeopleSoft training classes, but need a little help with using the software. Open Lab does not provide training.
As always, Open Lab takes place in room B3 at the Fremont Elementary School campus in Old Town. If you have any questions about this change in Open Lab scheduling for this month, please contact Debra Sayble-Thornbrugh at dsayble@sandi.net.

On Saturday, April 25, the Information Technology Department will perform maintenance to the PeopleSoft HCM application. The PeopleSoft HCM application (Time & Labor, Recruitment, Benefits) will be unavailable on this day from 8:00AM to 4:00PM.

How to Buy Assets using ePro

Need to order Asset items for your department or school? Not sure how to do it? Check out our brand-new Job Aid entitled How to Order Asset Items with ePro (eProcurement). On the left side of this screen, click the Read and Learn link, and then click the Job Aids link. Then scroll down to the ePro section and click the Job Aid link, How to Order Asset Items. You'll see illustrated, ste-by-step instructions, as well as the name and phone number of the person to contact for direct assistance.
Update e-Pro “Ship To” Address

e-Pro requestors who have relocated to a different work location need to submit a DWA Security Request to update their default “Ship To” address when creating an e-Pro requisition. Insert your new “Ship To” address on the DWA Security Request in the “User Request Details” field. This update is especially important when ordering from Office Depot and other Direct Connect vendors. For information, contact Art Hanby at ahanby@sandi.net.
Office Depot Now Available in eProcurement!

As of today, you can now use ePro’s Direct Connect feature to order items from Office Depot. This means you can still get the good discounts and fast service (you get your order in 1-2 days) you like with Office Depot, and have your orders process through the eProcurement system at the same time.
If you want to view and/or print out a job aid that shows how to order things through Direct Connect in eProcurement, including Office Depot, then please click the Read and Learn link on this page. Then click the Job Aids link and scroll to the ePro section.
From the Read and Learn web page you can also get a job aid that shows you how to access our school district’s custom-designed PeopleSoft Online Tutorials. These are brief, animated, narrated mini-video clips you can run from your own computer, that show you how to do things like how to order Office Depot items through Direct Connect. These tutorials are created by our own IT trainers specifically for use by you. After you click the Read and Learn link, click the eLearning link.
New Job Aids for Travel Expenses

Update on PeopleSoft ePro Requisitions

The latest fix for ePro requisitions has been applied to the Production environment. Based on positive feedback from eProcurement users, we believe this will provide relief for those of you who have recently experienced difficulty entering, saving, and viewing PeopleSoft ePro requisitions.
We are continuing to work on resolving the requisition budget checking performance issues.

NEW! How to Change ePro Account Code Numbers

Have you ever wanted to change the Account code within a budget string for an ePro requisition? By that, I mean have you ever been "forced" by the software to use a particular budget Account when you ordered something, even though you knew it was really the wrong Account? (An example would be if you were ordering pencils for students to use, and so you want to use Account 4301 for Instructional Supplies, but the software makes you use Account 4519 for Office Supplies).
Well, now there is a way to change that. If you order a Special Request or a Direct Connect item in ePro, you can change the Account budget code number to be whatever you want it to be. (You still can't change it on any Catalog item you choose from the preset lists, though).
You can change the Account code for a single line item, or for several different line items, or for all line items on an ePro requisition.

NEW PeopleSoft eProcurement Online Tutorials are Here!

ePro Online Tutorials are computer mini-movies that are animated and narrated. They walk you through, step-by step, how to use the new eProcurement 8.9 software. Now you can play one of these brand-new eProcurement online tutorials on your own computer at your office or home (as long as the computer is not a Macintosh...Sorry Mac users!). These tutorials are easy and fun to use. They can help you self-train on the new software, in case you’re unable to attend a face-to-face training class until later. The classes are the best way to get trained, but the tutorials are an excellent method to get you started, and they can support you even after you’ve been to class.
To run an ePro Online Tutorial, here’s what you do:
Log into eProcurement with your employee ID# and password.
Click to: eProcurement > Create Requisition.
Click the blue Help link in the upper-right corner of the screen. Follow the instructions from there, and remember to use the Try It! way of running the tutorials.
If you need more detailed instructions, go online to this website: www.sandi.net/peoplesoft/readandlearn/elearning. Once you arrive at that website, click to open the link “View PeopleSoft Tutorials Text-based Job Aid.” Print out that Job Aid and follow its detailed, illustrated instructions.

There will be the yearly delay in having the reconciliation between Payroll and Finance completed. Due to this, the earliest expected time frame for being able to run the Audit Paid to Reported Time Report for the July payroll will be the end of August. Process for Creating Special Request Requisitions in PeopleSoft eProcurement Changing July 1, 2007

Starting on July 1st, ePro Requesters will have expanded and meaningful item categories to choose from on Special Requests. Use of these predefined item categories will ensure that accurate information flows from the requisition and through purchasing and eventually is stored in the Asset Management module. This communication provides information on the following topics: - Impact to creating a requisition
- How the existing categories have been changed
- Where I can download job aids and view online tutorials
Will this slow down the process of creating a requisition? No, it should actually speed it up a little for you. A new list of Item Categories has been developed and was created with ease of use in mind. Selection of the item category will pre-populate the account field string and in the case of Assets will pre-populate asset-related fields. New edits will help you to choose the correct Item Category and will prevent you from choosing incorrect account codes. Additionally, if you’ve ordered an item worth over $500 and didn’t use an Asset Item Category, you’ll receive a warning to choose an Asset Item Category which will have an asset profile associated with it. How does the reconfiguration of Asset Management affect me? The 000 All Items category and the 578 Miscellaneous categories have been removed. Users must select the correct category from the new Category list. The new Categories are easier to find and understand. It is very important for you to either run the video tutorial or read the detailed job aid to learn how to do these ePro orders correctly. Once you try it, you’ll see how easy it really is, over the way it used to be. Who is going to help me with the new procedures for creating a requisition? The IT Training team has developed a series of job aids and online tutorial demonstrations to assist you with learning more about item categories and their use within the ePro module. - The Ordering Special Request Items with Asset Management job aid is available for download from the PeopleSoft Training website. - The Category List for Special Request Items job aid will help you select the correct category when creating a special request order. This job aid will help you identify the correct category by providing a list of descriptions and corresponding account codes. The job aid is color-coded by category type. Attention Timekeepers! Good News!

PeopleSoft now automatically sets the combo code to 5570-00010-00-2358-15-00-01-0000 for classified substitutes when the absent employee (or vacant position) is funded with resource code 00010, and the substitute works a full day (based on the absent employee's regular hours). The policy for using this combo code was set in place in January of this year. Until now, timekeepers had to manually change the combo code to this number in Time and Labor. Now, timekeepers will no longer need to manually change the combo code in Time and Labor for these classified substitutes, as PeopleSoft sets it automatically.
Please note that classified substitutes for absences due to worker's compensation, comp day, extra help, or long term extra help are not charged to this combo code. Please also remember that classified substitutes for employees that are not regularly charged to the 00010 resource should be charged to the resource code and department of the absent employee.

PeopleSoft Financials Upgrade - New Features Available Soon!

New improvements to eProcurement, Travel Expenses, and other tasks in PeopleSoft Financials will be available to district employees in Fall 2007.
What has been accomplished so far? Representatives from school sites, Finance, and IT have completed the process of reviewing the new application. The group has:
- Identified changes to the existing application and developed strategies for providing you with training and support on the new application.
- Reviewed new features to determine which ones can be implemented to help you become more efficient.
What is Asset Management? Starting July 1st the district will implement the first phase of a reconfiguration of the Asset Management module. Asset Management is a PeopleSoft module designed to track and report on non-consumable goods (things like computers, projectors, furniture, etc.) that are worth more than $464.00 per unit.
How does the reconfiguration of Asset Management affect me? Starting on July 1st, ePro Requesters will have expanded and meaningful item categories to choose from on Special Requests. Using these item categories will reduce delays in processing orders by helping the Purchasing Department efficiently route the requisition to the correct buyer. When the requester selects the item categories, key pieces of the chart field string will be pre-populated into the requisition. Additionally the use of these predefined item categories will ensure that accurate information flows from the requisition and through purchasing and eventually is stored in the Asset Management module.

PeopleSoft Online Tutorials are now available from home! Visit the PeopleSoft Training website to learn more about how these tutorials can help you complete common tasks in both PeopleSoft HR and Financials!
PeopleSoft Online Tutorials are mini-movies within the PeopleSoft programs we use. These Tutorials show you how to do tasks in PeopleSoft, like Mileage Expense Reports, or Special Request orders in eProcurement. Online tutorials show you exactly what to click, where to type, and what to do. Tutorials show ways to be more successful with PeopleSoft; right from within the PeopleSoft window. Fast and easy; no muss, no fuss.
These Tutorials can save you time, and show how to make PeopleSoft work better for you. The Online Tutorials support your work in PeopleSoft by showing you how to do something immediately. You can just sit back and watch the tutorial show you each step if you wish. In addition, you can actively click along with a tutorial at your own pace, in a simulated environment. Important Time & Labor Reporting Information - Please Review Carefully

Timekeepers and Site Administrators/Managers,
It has come to our attention that many of you have questions regarding payroll reporting requirements and which reports should be used to review and validate payroll. In an effort to provide some clarification, enclosed is a PDF document that describes each of the reports that are to be used by timekeepers and administrators to validate the payroll and when to run them. Please print and review this document. Included with each description is the navigation in PeopleSoft that will take you to each of the reports. We also believe there may be some room for improving the format of these reports to be more easily understood. The Payroll Department will be reviewing these reports in the coming weeks with the intention of revising them to be more user-friendly.
In addition to reporting requirements, we have provided some clarification on what the 90-day window for making Prior Period Adjustments in Time and Labor should be used for. Please review the description of that window and what types of adjustments should and should not be made using it.

New improvements to eProcurement, Travel Expenses, and other tasks in PeopleSoft Financials will be available to district employees in Fall 2007.
What are we upgrading? This upgrade only affects Financials tasks. The upgrade does NOT have anything to do with HR tasks like Time & Labor or PARs.
Why are we upgrading? Just like your car...in order to keep it running in good condition, you have to maintain it with tune-ups and oil changes. And, we want to take advantage of new, improved features.
How will I receive training and support? The IT Training team will make new manuals and interactive tutorials available to all district employees before the new application is released. Open Labs and other support resources will be available as well.
What should I do now? Keep using PeopleSoft Financials software as you normally do. Watch for future announcements about new features and training opportunities. View the PeopleSoft Website at: www.sandi.net/peoplesoft for the latest information on the Financials 8.9 Upgrade.

PeopleSoft Online Tutorials for eProcurement Now Available!
A great new animated and interactive tutorial tool is now available for district employees who submit PeopleSoft eProcurement requisitions on a PC computer!
The online support tool, known as PeopleSoft Online Tutorials, provides you with three different ways to receive help: See It - Watch as a mini-movie demonstrates how to order items in eProcurement. Try It - Practice working with an ePro order in a simulated environment while the computer walks you through the steps. Do It – Submit your own eProcurement requisition in the real PeopleSoft environment while the computer guides you through each step. Employees can access PeopleSoft Online Tutorials by clicking Help from within an appropriate PeopleSoft Window. To find out how to locate and use the Tutorials, go online to: http://www.sandi.net/peoplesoft/readandlearn/elearning and click Getting to the Special Request Online Tutorial. From that page you can download and print out the illustrated Tutorial Job Aid, by clicking on View the text-based Job Aid.
What Can You Get Help With? – We’re starting off with a tutorial for how to order a Special Request item in eProcurement. More tutorials are being built and will soon be available. Future tutorials will likely include: How to Order Catalog Items in ePro, How to Use the Edit Defaults Feature in ePro, and What to Do If You Get a Budget Error in ePro.
IMPORTANT NOTES: If your computer has a pop-up blocker, like the one in the Google Toolbar, you may have to hold down your SHIFT or CTRL key on your keyboard when you click on the PeopleSoft Online Tutorial link to launch the tutorials window. You will discover this if you try clicking the link and nothing happens. These online tutorials will only work on a PC with Windows. Macintosh computer users will not be able to access these tutorials.
