Central Offices Closed During Winter Break

All Central Offices of San Diego City Schools will be closed for the Winter Break starting at 5 p.m. on Friday, December 17, 2004. Offices will reopen at 8 a.m. on Monday, January 3, 2005. This closure is the result of a six-day work year reduction for all Central Office employees due to Board-approved budget cuts. This aligns Central Office with school sites, which will also be closed at this time.

Important Instructions for Central Office Employees
Prior to leaving for the Winter Break, all employees are asked to do the following, if applicable:

Notification

  1. Please record a new voicemail greeting to indicate that you are out of the office. How to record a new voicemail greeting: Enter your voicemail box, press "4" for Greeting, then press "6" to Record a New Greeting. A suggested message is as follows: "You have reached (name) in (department) at San Diego City Schools. I will be out of the office from (dates). All Central Offices will be closed for the Winter Break starting at 5 p.m. on Friday, December 17, 2004. Offices will reopen and resume normal hours at 8 a.m. on Monday, January 3, 2005. This closure is the result of a six-day work year reduction for all Central Office employees due to budget cuts. All school sites will also be closed at this time. Please leave a message and I will return your call upon my return on (date)."
  2. Please activate your "Out of Office Assistant" message on Outlook email. How to activate: In the Outlook main menu, go to "Tools" (or "Options" in OWA), then go to "Out of Office Assistant." Click on "I am currently out of the office." You are encouraged to type a similar message as described above in the voicemail instructions.
  3. If your department has a departmental voicemail or email, please ensure that both indicate the Winter Break closure as described above.
  4. If you work in an office area with public/visitor entry doors (such as M&O, IMC, etc.), please ensure that proper signage has been placed on doors to alert visitors to the Winter Break closure.
  5. Consider notifying key contacts outside of the school district of your absence, such as external agencies or organizations you often work with.
Housekeeping Items for Offices, Workspaces
  1. Education Center employees: Please take all items with you that might be needed during the Winter Break closure. With the exception of a few already identified employees, no one will be allowed to enter the Education Center during this time as there will be no power and significant construction activity due to a major electrical upgrade project.
  2. Education Center employees: Due to rodent control issues, all food items, candy, and snacks must be removed prior to the end of the work day on December 17. Any remaining food items that are found will be discarded by Pest Management staff. Also, please empty refrigerators, microwaves, coffee makers, and wash out coffee cups, dishes and utensils. Remove any excess paper piles/clutter and TAKE HOME PLANTS as these provide harborage and a food source for rodents. During the Winter Break, Pest Management will take advantage of the building vacancy to enact stronger pest control measures.
  3. Please clean out refrigerators of all perishable items, especially in the Education Center due to the power outage.
  4. Ensure that all office recycle bins and trashcans are emptied. Call Custodial Services prior to the Winter Break closure if assistance is needed.
  5. Please shut down and unplug computers, printers, photocopiers, and other equipment, and turn off lights.
  6. Please shut and lock all windows and doors.
Power Outage, Internet Shutdown
  1. In preparation for the power shutdown at the Education Center, Information Technology will begin to bring down the district server starting at 5 p.m. on Friday, December 17, 2004. This will take approximately 2 hours. As a result, the district website, Outlook email and any districtwide applications (DWA) will be unavailable to all users beginning at 5 p.m. and through most of the following weekend.
  2. Although you will be able to access the district website, Outlook email and DWA online during the Winter Break closure, please note there will be periodic outages, specifically on the weekends of December 18-19 and January 1-2.
