Web Sites Unavailable December 29th

On Monday, December 29, 2008, the district website, e-mail and District Wide Application (DWA) systems will be unavailable from 6 a.m. to 12 midnight, for system maintenance.

During this time, employees will not have access to:

  • The District Website (www.sandi.net)
  • Outlook E-mail
  • DWA applications (DataDirector, PeopleSoft, Zangle, Cognos & Encore)
from school sites or from home.

California Modified Assessment (CMA) Reminders

CMA Eligibility Criteria forms must be turned in by Friday, November 14. Be sure to include the case manager's name and school on the form. Forms may be found at http://www.sandi.net/depts/specialed/Other/CMA_Criteria_for_IEP_Teams.pdf

Encore Update - October 3rd

There was an Encore update Friday evening, October 3rd that included the following:

* Issue: Batch printing sometimes causes some computers to freeze.
Solution: the update fixes Special Factors p.3 and Present Levels p.1 so all forms batch print.
If difficulties with batch printing continue, please contact your On-Site Support staff person. Suggestions if batch printing issues continue: print Special Factors p.3 separately or print the forms in separate groups.
Suggested groups: Present Levels p. 1-3, Special Factors 1 & 2, Special Factors p.3, other forms.

* Issue: Meeting Notice form takes several seconds to display.
Solution: A data update was performed to the tables of staff names. This included the Meeting Notice (return to), the Assessment Plan (name) and the Assessment Report (assessor).
Staff names currently appear with first names first. We are asking for this to be corrected. In the meantime, please look for first names first in the tables associated with the drop down lists.
* Issue: The 'How disability affects involvement and progress in general curriculum...:' field on Present Level p.3 was previously unavailable and is now available in all IEP events.

Batch Print workaround

It has been reported by some that the 'Print' window during batch printing does not consistently display for all events. Using the Ctrl + P keys on the keyboard (PCs) simultaneously brings the print window to the front. Another option that has worked for some is minimizing all windows, with windows minimized, the print window appears.

For those using Macintosh computers, the Command/Apple + P keys brings up the print window.

New Service Descriptors

Background:
With the switch in terminology from specific special education service descriptors to "Specialized Academic Instruction" some providers have found that their names are not appearing on the dropdown lists when "Updating Provider Service Details"
(job aid - Updating Provider Services).
Issue:
This is a known issue when an older service is not listed for a specific provider. We are working to add these services to providers when they are not already listed.

Resolution:
Please be patient if you donšt see your name in the drop down list for an IEP Component Detail. There is no need to call your Encore On-Site Support person. The nightly interface from PeopleSoft should take care of this issue. If your name IS available to add to your student's service, please go ahead and do so now. Remember to update your caseload and case manager flags as well.

Communication:
Look for an update to this list as soon as the issue has been resolved.

Welcome back to the 2008-2009 School Year!

Due to the shifts in student enrollments and teacher assignments over the summer break, the CASE MANAGER flag for students was removed from caseloads. This DID NOT affect the listing for your caseload itself. For each student that you case manage, please follow the directions on the job aid on the Encore Support page at http://www.sandi.net/dwa/encore/readandlearn/jobaids/index.asp

CASE MANAGER, CASELOAD, and PROVIDER are three DIFFERENT concepts in Encore.

Encore Upgrade Complete

The upgrade to Encore is complete! The following are some changes and updates you will notice:

* IEP p.1 and Interim Placements - Specialized Academic Instruction service choices have been added to drop downs. Select SAI, if applicable, on new IEPs. The first service line continues to indicate a student's primary service. Resource Specialist, PACE, Non-Severe, etc. are no longer available as options.

* IEP p.1 and Interim Placements - Environment has been updated to display specific service environments.

* IEP p.1 and Interim Placements - Specialized Academic Instruction (SAI) may be entered on multiple lines, as long as the environment where the services are delivered are not the same.

* IEP p.1 and Interim Placements - Percent calculation - please enter the number of hours in the general education environment to calculate the percentage of time the student is in general education.

* Signature Page - Primary Service Options is now 'Least Restrictive Environments CONSIDERED'. The choices in the drop down display environment information. The least restrictive environment RECOMMENDED is the environment on IEP page 1 as the district's offer of a free and appropriate public education (FAPE).

* Special Factors p.3 - new CMA and CST assessment choices. Please be sure to select any and all subtests that apply.

* Meeting Notice dates contain date constraints. Entries must be three months before and after the current date. This information will be REQUIRED in order to complete the IEP and lock it.

Additional information:

If there is an unlocked event, data may need to be re-entered Please be careful to select the NEW appropriate service descriptions if you are cloning a previous IEP.

As with any upgrade, Encore may need to re-establish links. If you experience unusual behavior, please repeat your action a second time. It may take a second or two to work through forms the first time.
